We have built this feature for those cases where a building or worksite has multiple entrances and no dedicated reception or concierge desk. Often in these cases, visitors arrive without any way to notify their contact when and specifically where they have arrived at the premises.
Here is a step by step use case scenario of the new dropdown box in action:
🤳 Upon arrival, guests will scan a QR check-in code at one of the entrances of the building.
🔎 They will then be prompted to enter their name, company, phone number and the contact they will be meeting with. The contact will be visible in a list of names selectable via a dropdown box.
📲 Once guests have selected the name of the person they will be visiting, an SMS or email (customisable during set up) will be sent to that contact, stating the name of the guest who has arrived along with their location in the building.
Here's how to set up the dropdown box feature for your location:
Firstly you will need to create a list of visitor recipients in your Booking Manager.
Click on Visitor Recipient
2. Click on 'Add New Visitor Recipient.
3. Fill in the details of the recipient and the preferred method of contact.
All visitor recipients can be found in the Visitor Recipients dashboard, with the ability to edit or delete details at any time.
Next, you can enable the dropdown box selection in your location.
4. Head to your Location Manager and click on Edit Location.
5. Scroll down to the Visitor Management tab and expand.
6. Check the box for receiving visitor details via email or SMS.
7. Scroll to the bottom and save.
Once enabled, visitors can check-in and select the contact they are meeting with, triggering an SMS and/or email notification directly to the recipient.
